CRM Notes
Notes capture conversations, decisions, and context tied to organizations and listings. The Notes page shows every note across the entire CRM so you can search, filter, and work from a global view.
Note List
Use the filters at the top to narrow the list:
- Type — Filter by note type (see below)
- Search — Full-text search across note subject and content
Each row shows the note subject, type badge, linked organization or listing, author, and created date. Click any row to open the note detail page.
Note Types
Every note has a type that describes the nature of the interaction:

| General | Miscellaneous context or observations |
| Follow-up | A pending action item that needs a response |
| Call | Summary of a phone call |
| Record of an email exchange | |
| Meeting | Notes from an in-person or video meeting |
The Follow-up type is surfaced in the CRM Overview dashboard so pending follow-ups are always visible.
Creating a Note
Click New Note to open the note form:

| Subject | One-line summary of the note |
| Content | Full note body (supports multi-line text) |
| Type | Select the note type from the list above |
| Organization | Organization to link this note to (optional) |
| Listing | Listing to link this note to (optional) |
| Pinned | Pin the note to the top of the organization's CRM tab |
Note Detail Page
Click any note row to open its detail page. From here you can:
- Edit the note — toggle between read and edit mode using the Edit button
- Pin / Unpin — Pinned notes float to the top of the organization's CRM view
- Delete the note (with confirmation)
- View linked records — Click the organization or listing name to navigate directly to that record
- Attach files — Drag and drop documents onto the note to attach them (PDFs, Word docs, images up to 10MB). Attached files are available via secure download links.
File Attachments
Notes support document attachments for contracts, proposals, and supporting documents:
- Drag files onto the note detail page or click the attachment area to browse
- Maximum file size: 10MB per file
- Download links are time-limited for security — regenerate them if a link expires
Notes on Organization Pages
Notes can also be created directly from an organization's detail page under the CRM tab, as well as from the listing detail sidebar. Notes created there appear in this global list automatically.
Access Requirements
- Role: Admin or Super Admin
- Navigate to: Admin → CRM → Notes
